A new online experience for task workers to follow business processes

It was time to bring in more users (which meant we got to sell more licenses)! Our business users needed others to review their work and task workers to consume it. Since the editing experience of the main product would be too much for others, I designed a new portal with read-only access and features to complete the journey.

Business analysts who create and edit their processes in Blueworks Live wanted other people in their organization to correctly reference and execute their company's processes while they work.  They also wanted management or other analysts to be able to review them.  We call these folks "viewers" of the process.  Since a viewer need only be able to search for a process and reference it, the existing product experience was too heavy for such a user, who need not be confused by all the navigation and actions available to analysts. Therefore, I designed a new experience just for the viewer license with a focus on their primary tasks: search, review, and find again easily.



Let's explore how it works


Once an employee has been invited to join the account as a "viewer," after logging into Blueworks Live they see a different experience just for them.  The first time they enter the experience they see search front and center as their method for finding processes.  At first, the page provides guidance reinforcing that they can find and consume processes in this experience.

If they've been around the block a few times, this page will change with them. They'll be able to quickly find processes they've viewed recently without having to search for them again.

After finding a process he/she may want to reference more than once, they may have bookmarked, or what Blueworks Live calls follow, the process.  We'll show processes they're following on their landing page as well, so they may easily get back to them.

Hovering over any process here quickly brings up the description for it, helping them know if this is what they're trying to accomplish.

The prominent search also recommends processes you might be trying to find by name as you type, highlighting the portion of the name you might be interesting in typing next.

Opening a process brings up the read-only information around that process.   This is a similar view "editors" have when they are not editing a process.  The viewer can step through the process viewing it's details on the right.  It can be printed and posted in their workspace for even faster reference, of course!
